How your information is handled

What we collect, why, who it goes to, how long it is kept and how to complain.

Scope

This policy explains how Tree Lopping Sutherland Shire ("we", "us") handles personal information collected through treeloppingsutherlandshire.com.au and related phone and email enquiries. It is written to meet our obligations under the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

What we collect

We collect only what is needed to respond to an enquiry and arrange a quote:

  • Contact details you give us — name, phone number, email address and the property address or suburb where the work is needed.
  • Job details you give us — a description of the tree or trees, photographs you choose to send, access details, and any deadline or site constraints.
  • Technical information collected automatically — IP address, browser and device type, referring page, the pages you view and the time of the visit. This is standard web server and analytics data.

We do not collect government identifiers, payment card numbers or sensitive information as defined in the Privacy Act. Do not send them to us.

How we use it

Enquiry information is used to contact you, to pass the job to a tree contractor who can quote it, and to follow up on the outcome. Technical information is used in aggregate to keep the site working across browsers and devices and to understand which pages are useful.

We do not sell personal information. We do not use enquiry details for unrelated marketing.

Who we disclose it to

  • Tree contractors. This is a referral service. The details you provide are passed to one or more independent contractors so they can contact you and quote the work. That is the point of the enquiry and it is the main disclosure we make.
  • Service providers. Hosting, form handling, email and analytics providers process data on our behalf under their own terms.
  • Where the law requires it. We may disclose information if compelled by law, or where reasonably necessary to protect a person's safety or to investigate suspected unlawful activity.

Some providers store data outside Australia. Where that happens we take reasonable steps to ensure the information is handled consistently with the Australian Privacy Principles.

Cookies and analytics

The site uses cookies and similar technologies to remember session state and to measure traffic. You can block or delete cookies in your browser settings; parts of the site may not function as intended if you do. The enquiry form is supplied by a third-party form provider, which sets its own cookies when the form loads.

Storage, security and retention

Information is held in access-controlled systems operated by us and our providers. We take reasonable steps to protect it from misuse, loss and unauthorised access, but no transmission over the internet is completely secure.

Enquiry records are kept only as long as needed for the purpose they were collected and for any period required by law, and are then deleted or de-identified. If a job did not proceed, the record is not retained indefinitely.

Access, correction and complaints

You can ask us what personal information we hold about you, ask for it to be corrected, or ask for it to be deleted. Contact us on (02) 9538 7974 or through the contact page, and we will respond within a reasonable period. We may need to verify your identity first.

If you are not satisfied with our response to a privacy complaint, you can refer the matter to the Office of the Australian Information Commissioner at oaic.gov.au.
